Overview of the Work Placement Process

I. Submitting and Completing Your Work Placement

  1. Choosing the Placement Location and Duration (completed by the student)
  2. Agreeing on an Individual Placement Plan with the Employer (completed by the student)
    Note: Be prepared for a conversation with your employer, during which you’ll need to gather the information required to register your placement in the Moja PG system:
  • Name of the host organisation
  • Company Tax Identification Number (NIP)
  • Company Registration Number (REGON)
  • Company address
  • Name, phone number, and email of the workplace supervisor
  • Placement address (if different from company address)
  • Company website
  • Type of placement/contract:
    agreement on organising a student placement / placement based on an existing framework agreement / unpaid internship / voluntary work / employment contract / civil law contract / other
  • Agree with the company on at least three specific areas you will cover during your placement

  • Ask whether an occupational health check is required by the company
    (Available medical check-up packages can be found here: [download link]. In exceptional cases, a package dedicated to another field of study may be used.)
  1. Registering your placement in the Moja PG System (completed by the student)
    NOTE: Regularly check the status of your registered placement to ensure you respond in time and proceed to the next step.
  2. Verification of the submission by the placement coordinator (completed by the placement officer)
  3. Preparation and submission of the "Individual Placement Programme" (IPP) to the host company (completed by the student)
  4. Uploading a scan of the signed IPP to the Moja PG system (completed by the student)
  5. Verification of the signed IPP by the host company and further acceptance of the placement (completed by the placement officer)
  6. Printing the medical examination referral (if required) and the placement agreement prepared by the placement officer, and submitting it to the relevant Vice-Dean for signing (completed by the Program Office)
    NOTE: The agreement will not be submitted for signing until the student provides the required medical certificate (if the company requires occupational health checks).
  7. Delivering the agreement to the host company and returning the signed agreement to the Program Office:
    9a) For paper-based agreements, the student must deliver the agreement to the host company and provide one signed original copy to the Program Office. Additionally, the student should email a scan of the signed document to the relevant Program Office staff member.
    9b) For electronically signed agreements, the Program Office will handle the submission of the agreement through the appropriate channel specified by the host company.
  8. Uploading the signed agreement to the Moja PG system (completed by the Program Office)
  9. Registration of the students with the status "ready for placement" for Student Houses and NNW insurance (completed by the Program Office)
  10. Work Placement Completion (completed by the student)
    NOTE: At the start of the placement, the status of your registered placement should be marked as "ready for placement."

Registering Your Placement - Guide

II. After your placement - detailed information about this stage will be provided once it is implemented in the Moja PG system.

  1. Obtaining a certificate of completed placement.
  2. Preparing the placement report.
  3. Presenting the report to the Placement Officer.
  4. Sending the report (electronically) to the Dean’s Placement and Internship Representative.
  5. Receiving the placement completion approval.
  6. Completing the post-placement survey.

Important!

The university can only sign the student placement agreement if all required documents are submitted in accordance with § 4(1)(1) of Rector’s Order No. 31/2024 (dated 27 August 2024), at least 14 days before the placement starts.

To complete the work placement, students must submit all required documentation, as outlined in the Placement Rules, on time. After finishing the placement, students must complete the necessary steps on the designated platform within 14 calendar days, but no later than the last day of the resit exam session (§ 3, section 7 of the Regulation). Any late submission of documents requires prior approval from the Dean.
